QuickBooks · Measure

Paid-invoice revenue for agencies and services businesses. Paid-invoice revenue for agencies and services businesses.

When retainers and project fees live in QuickBooks, Apex reads invoices that have been paid in full and attributes that cash to the Client. CAC and LTV use collected dollars, not CRM notes.

No credit card to start.

What teams use it for

The questions people actually ask.

  • How do I attribute QuickBooks invoices to the marketing campaign that drove the customer?

The join is the invoice billing email (or the QBO customer id after the first match) to the Apex Client from your form. Paid invoices stack on that Client. First-touch channel, campaign, and Apex Link come from the session that created them — the same attribution Stripe revenue uses.

  • Can I calculate LTV when my revenue splits between Stripe and QuickBooks invoices?

Yes, if you pick a revenue referee. When both connectors are live, Apex will not silently add both dollars. Set QuickBooks as referee for retainer cash, or Stripe for card cash. Amounts convert to your reporting currency at ingest.

  • Can I use payment-on-time signals from QuickBooks as an input to churn models?

No. Apex reads invoices after they are fully paid, plus credit memos. Overdue, partial, and write-off status are not scoring signals. Late pay still attributes once the balance hits zero.

What flows in

What Apex receives from QuickBooks.

From QuickBooks

  • Paid invoices (Balance = 0): amount, invoice date, billing email
  • Applied payments (Payment date, used for conversion freshness)
  • Credit memos as negative revenue
  • QBO customer id on the invoice (CustomerRef), for matching after the first paid invoice

What it powers

Where this data shows up.

  • Intelligence

Lifetime value stacks every paid invoice on the Client. Channels compare that LTV to ad spend.

  • Experiments

Attribute experiment impact to invoices that actually collected, not CRM stages that never billed.

Setup · OAuth 2.0

Connect QuickBooks.

Authorize QuickBooks Online through Intuit OAuth. Apex polls paid invoices, payments, and credit memos on the daily sync. Match is billing email, then QBO customer id. No customer-list sync, no write-back, no live webhooks.

FAQ

QuickBooks and Apex, answered.

  • Does this work with QuickBooks Online or QuickBooks Desktop?

QuickBooks Online is supported natively via Intuit's OAuth 2.0 API. QuickBooks Desktop doesn't have a public API, so it's not directly supported, but you can export invoice data from Desktop and import it into Apex via CSV or the Apex API if needed.

  • How does Apex handle multi-currency invoices?

Each invoice is stored in its native currency, and Apex applies daily exchange rates for roll-ups into your reporting currency. CAC, LTV, and commission calculations all work across currencies without manual conversion.

  • What happens when an invoice is refunded or written off?

Credit memos come through the same daily sync and land as negative revenue on the matched Client. Write-off and refund objects are not a separate sync. Partner commissions are not adjusted from this path.

  • Does Apex sync customer master data from QuickBooks?

No. Apex does not import the customer list, addresses, or terms. It reads BillEmail and CustomerRef on each paid invoice so later invoices can match the same Client without the email repeating.

  • How often does the sync run?

On the daily connector schedule, and whenever you run a manual sync. There are no QuickBooks webhooks. Historical paid invoices in the sync window are ingested once; the invoice id is the idempotency key.

  • Is this relevant for SaaS companies who only use Stripe?

Less so. If 100% of your revenue runs through Stripe, you probably don't need QuickBooks in Apex. This integration is aimed at services, agencies, and B2B teams whose enterprise customers pay via ACH or wire and whose invoices live in QuickBooks instead of Stripe.
